Artomatic 2009 Rules of Participation

This is another brand new building we’re using for Artomatic. Therefore, we have some stringent rules to take care of and protect it. All artists must agree to these rules and must help enforce them. Breaking these rules will jeopardize your participation in this and future Artomatics.

Installation Rules

  • All building material, paint, ladders, wood, metal, sculpture and everything that takes two people to carry MUST come through the loading dock and the freight elevator.
  • Small artwork and cardboard boxes may come through the parking garage and lobby elevators.
  • Very large items and sculpture may come through Half Street entrance and through the music room to the freight elevator. This eliminates dragging really heavy items up the stairs in the loading dock.
  • 15 minute parking limit at loading dock and on Half Street.
  • Do NOT paint the floor or ceiling
  • Do NOT put anything on the glass windows
  • Please take your dirty paint brushes and rollers HOME to wash. We don’t have any janitor sinks in the building and the restrooms will be off limits to paint brushes and rollers. Do NOT use the bathrooms to clean anything other than your hands. Clean up after yourself.
  • NO smoking in the building, in front of the building, or in the loading dock.
  • Please don’t litter.
  • No outside alcohol allowed.
  • Respect other artists and their spaces.
  • Respect this building.
  • Respect the staff. Remember you will be working during this show also.
  • Please remove all your trash. Take it with you. We don’t have trashcans or trash pick-up during installation.
  • At this point, no hand trucks, carts, or dollies are available for individual use. Please provide your own.
  • Only lights may be hung from the lighting brackets.
  • Core walls may not be painted.
  • Remember that everything you attach to your wall will need to be removed by you when you deinstall.
  • Post ads, postcards, placards, and notices in designated and labeled areas only.

Event Rules

  • NO smoking in the building, in front of the building, or in the loading dock.
  • Please don’t litter.
  • No outside alcohol allowed.
  • Do not take alcoholic drinks outside the building.
  • Respect the staff, remember you will be you will also be working during this show.
  • All artists are required to work three participation shifts. You may change shifts online but must complete at least three to honor this contract and be able to participate in future Artomatic events.
  • All artwork must stay up for the entire event, and artwork may not be brought into, or taken from, the building after May 27th.

Site Selection and Orientation

2009 Site Selection dates:

  • Saturday, April 25, 9 am – 4 pm
  • Sunday, April 26, 9 am – 4 pm

Overflow or late-attendees Site Selection:

  • Monday, April 27, 5 pm – 7 pm
  • Tuesday, April 28, 5 pm – 7 pm

All visual artists must attend orientation and site selection. A day and time will be assigned to each participant once he/she has completed online registration.

If you miss Orientation, you will not be able to select a space.

If you are unable to attend at the assigned date and time, you must make arrangements to attend a session later in the weekend, or an overflow site selection evening on Monday, April 27 and Tuesday, April 28 from 5 – 7 pm. Contact registration@artomatic.org as soon as possible. Be prompt. If you are late for your site selection time, the time that you pick your space will be at the discretion of the Event and Program Management Committee.

If you do not attend the orientation and site selection, you will not be eligible to participate in Artomatic 2009.

Check In

  • Show proof of payment and participations shifts are selected
  • Read and sign Rules of Participation
  • Proceed to Orientation Room
  • Receive any handouts
  • Hear about Artomatic, site selection day, what Artomatic expects of you as a participant, and what you can expect from Artomatic.
  • Upon leaving orientation, receive two site selection cards from the person at the door. (2-D blue and yellow; 3-D pink and green)
  • Fill in your personal information completely on BOTH cards before you go upstairs
  • Proceed to designated Site Selection floor

Site Selection

  • Wander designated areas only 
  • Select your space
  • Find the volunteer in your section
  • Volunteer will fill in the space designation on both cards
  • Artist will sign both cards and will note any special characteristics of the space
  • Volunteer will initial approval of both cards
  • Volunteer will attach Yellow card to the wall, or Pink card to the floor (for 3-D)
  • 2-D artists will return Blue card (3-D artists return the Green card) to Check-In table in the first floor lobby.
  • The attendant at the desk will sign you out and enter your information into the database.
  • You (the artist) are not fully registered, and your space is not official, until all above steps are complete.

Installation

Artomatic 2009 is in a brand new, and very raw, building. The entire building is very similar to Artomatic 2008. Volunteers will be building plywood partitions from which to hang 2-D artwork. Most artists will use a 12’x8’ or 8’x8’ section of these partitions. Core walls (permanent walls around the elevators) will contain a variety of space sizes between 4’ and 12’. 3-D artists will be allotted equitable space to install work.

Volunteers will be adding electricity to the entire building. We will provide overhead lighting and a wall-mounted lighting bracket on each partition. Electrical plugs will be limited so please be cognizant of this when you plan your exhibit. Artomatic plans to have basic lighting fixtures available for purchase at a discount.


  • The building will be open for artist to install their work on Wednesdays, Thursdays: 5 p.m. –10 p.m., Fridays, Saturdays, Sundays: Noon – 10 p.m.
  • No installation on Mondays or Tuesdays except for the final days on installation: May 25th and 26th, Noon – 10 p.m.
  • Participant agrees to install work during open hours between April 29 and May 26, 2009.
  • If you have not started installing your exhibit by 10 PM on Sunday, May 24, your space may be allocated to someone else.
  • Installation ends on Tuesday, May 26 at 10 PM.
  • Participants may paint the vertical partition that is their space and the lighting brackets only.
    NO paint on the floor, ceiling, or columns. You may not hang anything from the pipes, wires, or hangers in the ceiling, nor may you put anything directly on the glass windows.
  • Not sure if you’re an installation artist? You’ve created an installation if you use materials (i.e., dirt, broken glass, empty beer cans) that may not have any value to you or Artomatic after the event is over. You must remove everything you bring in.
  • Collaborations – multiple artists creating a single unique piece or body of work – may register under the name of their collaboration, which will represent all of the artists contributing. We ask that each artist in a collaboration sign up for 3 volunteer shifts. All of the shifts will be scheduled under the collaboration name so be sure to note this on the sign-in sheet when each artist reports for their shift.
  • Groups – multiple artists showing individual work in the same space – are not allowed. Artomatic is about individual artists.

De-Installation

De-installation dates: Wednesday, July 8 through Sunday July 19, 2009.
Wednesday and Thursdays: 5 pm –10 pm
Fridays, Saturdays, and Sundays: Noon – 10 pm

Participant agrees to de-install work during open hours between July 8 and Sunday July 19, 2009. What you have added to the space must be removed. The space must be left clean and orderly. Artist created an installation will have their deposit check returned upon completing de-installation.

  • You do not need to repaint your walls.
  • Take out what you brought in. Remove your labels and nails from the wall. Remove all other peripherals also.
  • Leave your area broom clean
  • All building material, paint, ladders, wood, metal, sculpture and everything that takes two people to carry MUST leave through the loading dock and the freight elevator.
  • Small artwork and cardboard boxes may leave through the lobby elevators and the parking garage.
  • Very large items and sculpture MUST leave through the freight elevator. You may exit through the music room and the Half Street entrance to eliminate dragging really heavy items down the stairs in the loading dock.
  • 15 minute parking limit in loading dock or on Half Street.
  • Please don't block the loading dock or Half Street.

Once your area is clear of all your belongings and as clean as, or better than, you found it, you MUST go to the check out desk on the first floor unless you find a volunteer on your floor.

  • A volunteer will inspect your area
  • You will sign out on the check out list
  • The volunteer will sign also to confirm your departure.

Sales

  • All sales should be handled directly between artist and the collector. All works sold must remain on exhibit throughout the duration of the event.
  • No artwork can leave the building between May 29 and July 5. No artwork can leave the building on the night of July 5th (closing night).

Security and Liability

All artwork or other personal property exhibited in, or brought to, the event is exhibited or brought at the participant's sole risk. No personal property insurance shall be provided by Artomatic or any of its partners. Neither Artomatic nor any of its partners assume any responsibility for damage, theft, or loss of a participant's artwork, property, or display.

As a participant of Artomatic 2009, I understand and agree to the above-stated terms and conditions. I further understand that failure to agree to and abide these terms and conditions will disqualify me from Artomatic 2009 and may jeopardize my future participation.

 

These procedures are in place to secure all of our artwork. Please respect the volunteers. They are your fellow artists and are just doing their jobs.

Failure to agree to and abide by these terms and conditions may jeopardize your participation in this and future Artomatics.

T-shirts and other mementos will be for sale. We know that you’ve put a lot into Artomatic, but your $20 (four triple mocha lattes!) really, really helps us make the event better each time.

An electronic survey will be online before the end of the event. Please take a few minutes to complete this vital survey. Also, please send one positive story about your experience to the NEWS for future publication.

Directions to the Loading Dock and Parking Garage

The loading dock is located on the east side of the building. From the corner of M and Half Streets, SE, head east on M Street. Turn right at the end of the building. Proceed to loading dock or parking garage. Park in the designated area and unload your art. Parking limit in the loading dock is 15 minutes for unloading. Unload and move your car. Be considerate of others. Go through the door at the back of the loading dock. The freight elevator is to the right and the stairs are to the left. The Half Street entrance are located on the street leading to the ballpark.
