Artist Participation Agreement

Terms and Conditions

Participants must agree to abide by the general terms and conditions of Artomatic 2012 as stated below.

Performing Artists

After creating an account Performing Artists must pay a $10 equipment administration fee and contact a booking manager for your performance type to begin the process of scheduling your performance. Performing Artists agree to work one shift per performance group.

Visual Artists

The registration fee for Visual Artists is $110. It must be paid online. No refunds will be given for the registration fee.

Installation artists must leave an additional $150 deposit (check or money order) at the time of check-in during site selection. Artomatic defines installation art an art form that uses material to transform a space and create an experience. The deposit is required for any art determined to be an installation by Artomatic. Checks and money orders will be held until the end of the event and returned if all artwork is de-installed and area is satisfactorily cleaned.  You must remove everything you bring in. 

Participation Commitment

Visual Artists agree to work three shifts during Artomatic 2012. Visual artists will not be permitted to select an exhibit space until they have signed up for the required shifts online. Failure to satisfactorily complete all three shifts will result in suspension from future Artomatic events.

Collaborations – multiple artists creating a single unique piece or body of work – may register under the name of their collaboration, which will represent all of the artists contributing. We ask that each artist in collaboration sign up for 3 shifts. All of the shifts will be scheduled under the collaboration name so be sure to note this on the sign-in sheet when each artist reports for their shift.

Groups and Artomatic

Artomatic does not set space aside for groups or allow group registration, with a few pre-approved exceptions. The Artomatic mission is to represent individuals and each separate artist must register for the event and come to site selection. If individual artists register at the same time and are assigned to the same site selection time, they can try to choose spaces near one another.

Artists who want to identify with one another may:

  • Come up with an identifying label that can be at each artist’s individual space.
  • Make maps of where all the members are located and sponsor tours and/or artists' talks.
  • Display a Web address or a map showing your members’ locations.


On-Site Orientation and Site Selection (Visual Artists only)

2012 Site selection dates:

  • Saturday, April 21, 8 am – 4 pm
  • Sunday, April 22, 8 am – 4 pm

Overflow or late-attendees site selection:

  • Monday, April 23, 5 pm – 7 pm
  • Tuesday, April 24, 5 pm – 7 pm

All Visual Artists must attend orientation and site selection to participate in Artomatic 2012. A registration number will be assigned to each participant after completing online registration. You must attend the correct orientation and site selection time and date scheduled for your registration number in order to select a space to exhibit your art. Please refer to the orientation and site selection schedule.

If you miss Orientation, you will not be able to select a space.

If you are unable to attend your site orientation and selection time--rescheduling will be at the discretion of the Staffing and Volunteer Management team.

If you are unable to attend at the assigned date and time, you must make arrangements to attend a session later in the weekend, or an overflow site selection evening on Monday, April 23 and Tuesday, April 24 from 5 – 7 pm. Contact as soon as possible.



FINAL Orientation and Site Selection

The FINAL Orientation and Site Selection will be Sunday, May 6th at 2:30 pm and will take between 60-90 minutes. You must attend this session before you will be allowed to select a space in the building. There will be not any other sessions held. Before you complete your registration please make sure you can attend - there are no refunds for the $110 registration fee.



Participants agree to install work during open hours between April 25 and May 13, 2012 and comply with Artomatic guidelines and requests regarding installation of art. 

Hours: Wednesdays - Sundays Noon – 10 pm (no installation on Mondays or Tuesdays)

If you have not started installing your exhibit by 10 PM on Sunday, May 7, your space may be allocated to someone else.

Any artist found installing work after installation ends at 10 PM on Sunday, May 13 will be removed from the show.

If you require electricity for your exhibit, please ensure that you choose a site with an adjacent outlet.  Artist lights may draw no more than 100 watts of power.  Artists may only use commercially-rated extension cords and runs of multiple cords are not permissible.

Please read the Rules of Participation for more details on installing your artwork in the building.

Failure to agree to and abide by these terms and conditions may jeopardize your participation in this and future Artomatic events.


Participant agrees to de-install work during open hours between June 24 and July 1, 2012 between Noon and 10 pm. What you have added to the space must be removed. The space must be left clean and orderly. Installation artists will have their deposits returned upon successfully completing de-installation.

All art work must be removed by 10 p.m. on Sunday, July 1, 2012



All sales should be handled directly between artist and the collector. All works sold must remain on exhibit throughout the duration of the event.

No artwork can leave the building between May 18 and June 23 with the exception of Artist Marketplace sales.  No artwork can leave the building on the night of June 23 (closing night). 

Security and Liability

All artwork, video, film, equipment or other personal property exhibited in, or brought to, the event is exhibited or brought at the participant's sole risk. No personal property insurance shall be provided by Artomatic or any of its partners. Neither Artomatic nor any of its partners assume any responsibility for damage, theft, or loss of a participant's artwork, property, or display.

As a participant of Artomatic 2012, I understand and agree to the above-stated terms and conditions. I further understand that failure to agree to and abide these terms and conditions will disqualify me from Artomatic 2012 and may jeopardize my future participation.
